The Buying Operations Coordinator will play an integral role in supporting both the Buying Operations Manager and the broader Buying team, helping to ensure the seamless day-to-day running of the department. This position is responsible for coordinating and maintaining accurate reporting, supporting key operational processes, and assisting with the efficient execution of administrative and workflow tasks across the team. Working in a fast-paced retail environment, the role will be instrumental in ensuring timelines are met, processes are streamlined, and the department operates smoothly and effectively.

Salary: $85k-$105k + super

RESPONSIBILITIES +

  • Prepare and distribute regular reporting across buying operations, including inventory levels, supplier performance, order tracking and purchasing trends, while analysing data to provide actionable business insights and track key KPIs.
  • Support the coordination of marketing and promotional activity by collaborating with the Buying Team on content ideas, eDMs, imagery and campaign requirements, ensuring all collateral and documentation is delivered accurately and on time.
  • Assist in the end-to-end buying process by liaising with suppliers, vendors and internal stakeholders to ensure purchase orders, shipments and deliveries are executed efficiently and remain on schedule.
  • Manage day-to-day operational and administrative responsibilities, maintaining accurate procurement records, contracts and documentation while ensuring compliance with internal processes and deadlines.
  • Drive operational efficiency by identifying process improvements, resolving cross-functional issues as they arise, maintaining strong stakeholder communication, and providing support and continuity during the Buying Operations Manager’s absence.

REQUIREMENTS +

  • Advanced Microsoft Excel skills, including strong capability across reporting, data analysis, pivot tables and VLOOKUPs.
  • Previous experience within a corporate retail, procurement or buying operations environment is highly regarded.
  • Strong analytical skills with the ability to interpret data, identify trends and provide commercially focused insights to support business decisions.
  • Highly organised with exceptional attention to detail, capable of managing multiple priorities and working to tight deadlines in a fast-paced environment.
  • Proactive and self-driven individual with excellent written and verbal communication skills, able to work autonomously and collaborate effectively across cross-functional teams.
